Job Description:
The Administrative Coordinator, CIOL coordinates broad operational functions for the Center for Institutional and Organizational Learning (CIOL). This position manages the department’s budget reconciliation and event coordination. 

Duties & Responsibilities
•Manages and analyzes departmental budget, monitors financial transactions, completes financial projections and forecasting, and identifies and provides solutions for potential budget issues, 
•Prepares monthly budget to actuals expenditure variance analysis and/or related reports
•Manages budget transfers and journal entries
•Supports large scale collegewide activities via analysis for events to remain within allotted budget
•Manages event logistics, room reservations, catering, secure CNS/Media support, and supervision of assigned staff/volunteers
•Develops and manages all Agreement for Services from creation to closure
•Manages vendor relations via securing new vendors, support vendor system set-up, scheduling, payment, travel, and agreements
•Processes task points requests, Out of Department forms, payroll, purchasing card reconciliations, requisitions, and Requests for Personnel Action (RPA) forms
•Assists with training part-time personnel on department policies and procedures and creates schedules

Minimum Requirements
•Master’s degree in a technical or related field and one (1) year of related experience; or Bachelor’s degree in a technical or related field and five (5) years of related experience
•Knowledge and understanding of College organization, goals and objectives, and policies and procedures
•Possess excellent organizational and communication skills (oral and written)
•Ability to read, analyze, and interpret financial reports, service agreements, and other legal documents
•Aptitude to identify problems and utilize critical thinking to identify potential solutions
•Ability to respond to inquiries and complaints from internal and external customers, vendors, and contracted consultants
•Adept at data collection, establish facts and patterns, and draw valid conclusions for reporting purposes
•Ability to effectively present information to college personnel, administrators, and external consultants/vendors
